Perform the following steps to create a new shared asset.
- Navigate to Templates > Shared assets from the left navigation panel.
- Click +SHARED ASSET in the top right corner.
- Select the shared asset to be created from the dropdown menu. Three types of shared assets can be created, namely:
- Subject & preheader – plain text assets used in subject lines and preheader texts.
- HTML – HTML assets for email body.
- Rich text – rich text format assets for email body.
- Enter the name of the shared asset.
- Click the CREATE SHARED ASSET button to open the asset editor.

Properties
When a new asset is created, the following properties are available.
- Reference strings – these are used to reference the asset in email templates. The ‘Use shared assets in email templates’ section provides more information.
- Tags appropriate reference tags can be associated with the shared asset.
- Templates & shared assets – a list of templates or other shared assets using this asset is displayed.
Data
A product recommendation scheme or an event can also be configured for the shared asset.

The HTML and subject/preheader asset creation screens have been enhanced, and the properties and data are split into separate tabs, as shown in the above screens. The rich text asset creation still uses the old layout and displays them on the same screen.
Content
Subject & preheader
The subject & preheader editor has been enhanced with a simple text editor that can be used to add, edit, and preview the text for different device sizes like desktop, tablet, and mobile.
HTML body
The HTML editor has been enhanced and now offers simple HTML rendering, plain text, and previews for different device sizes like desktop, tablet, and mobile.
Rich text body
Rich text continues to use the old interface with the properties, data, rich text editor, and preview all stacked together on the same screen.
Note
- Select the ‘Use the content below to replace the system generated plain text content’ checkbox and editor to specify the optional plain text content. However, we recommend that you exercise caution when you use this option since the content you specify here is used in all the emails that use this asset.
- Always remember to click the SAVE button at the top right corner of the editor during progress or once you are done creating the asset to ensure that the changes are not lost. You will, however, be notified if you leave the screen without saving it.
Asset management
Perform the following steps to edit and manage a new shared asset.
- Navigate to Templates > Shared assets from the left navigation panel.
- Search or filter and click the name of the shared asset.
- Edit the asset as required.
The ellipsis menu (vertical three dots or kebab menu) on the top right corner of the new editor in the subject/preheader and HTML body assets allows users to manage the assets using the following options.
- Clone – for cloning the shared asset.
- Remove – for deleting the shared asset.
- Lock/Unlock – for locking or unlocking the shared asset. Locking an asset will prevent other users from editing or deleting the asset.
- Archive/Unarchive – for archiving or unarchiving the shared asset.
Locking & archiving/deleting
As an owner of a shared asset, you can lock the asset to prevent users from accidentally editing it. Other users can request edit access to your assets, and you can unlock them as appropriate.
To request access to a locked asset, open the asset and click Request Access.
Shared assets cannot be archived or removed if used in an active template or another shared asset (nested). If you try to archive or remove an actively used shared asset, the system will notify you. Also, you can no longer use them in any templates or revert them to an older version.
Tip
You can create a template using Visual Studio, export it to HTML, and use the HTML content to create the shared asset template.
Important
- We recommend that you explicitly define any CSS classes that you use to design content that will be used in the Visual Editor to ensure that the styles are rendered correctly in the emails.
- When you design a shared asset that spans across the entire width of an email, for example a header or a footer, ensure that the width of the shared asset is the same as the width of any emails the shared asset will be used in.
